This Privacy Policy and Terms of Service (“Agreement”) governs the use of the Diploma Verification System (“System”) provided by EARIST – Manila. By accessing or using the System, you agree to comply with and be bound by these terms.
The System uses Google Authentication to provide secure login access for staff and administrators.
We value your privacy and collect only the information necessary to operate the System.
Information Collected via Google Authentication:
Your full name
Your Google account email address
Basic profile information (as provided by Google)
Diploma Verification Data:
Student name, student number, program, and graduation date
Verification logs (IP address, timestamp, verification result)
Usage Data:
Login history
System actions for audit and security purposes
We do not collect passwords from your Google account.
Your information is used only for the following:
To authenticate and authorize access via Google login
To allow staff and administrators to manage diploma records
To provide verification services to public users
To improve system security, generate reports, and maintain logs
To contact you regarding system updates, security alerts, or support issues
All stored diploma and user data are encrypted in a secure database.
Communication is protected via HTTPS encryption.
Access is role-based (Public, Staff, Administrator).
Regular system monitoring and backups are performed.
We do not sell, rent, or share your personal data with third parties.
Information may only be shared in these cases:
Legal Requirements: If required by law, court order, or government request.
Institutional Needs: Within EARIST for academic and administrative purposes.
As a user, you have the right to:
Request access to the personal data we hold about you
Request correction of inaccurate or outdated information
Request deletion of your data, subject to institutional policies
Opt-out of notifications (where applicable)

Eligibility: Only authorized users (staff, administrators, public verifiers) may access the System.
Acceptable Use: You may not misuse the System to falsify, alter, or tamper with diploma records.
Account Security: Users must keep their Google accounts secure. Unauthorized access through compromised accounts is the user’s responsibility.
System Availability: EARIST strives for high availability but does not guarantee uninterrupted access.
Termination: Accounts may be suspended or revoked for violations of these terms.
The System relies on Google Authentication for login. Use of this feature is also subject to Google’s Privacy Policy and Google Terms of Service.
We may update this Privacy Policy and Terms from time to time to reflect changes in legal, technical, or institutional requirements. Updates will be posted on the System. Continued use after updates constitutes acceptance of the new terms.
